Overview

A ClickUp CRM for the sales team of EasyXpress, with leads arriving on their own from support conversations in Chatwoot and from Facebook lead forms. n8n and Make.com carry each lead into one pipeline for both shipping directions, USA and China.

Tools

  • ClickUp
  • n8n
  • Make
  • Facebook Lead Ads
  • Chatwoot

The need

The sales team kept its leads in an Excel sheet. New leads came from two places, support conversations in Chatwoot and Facebook lead-ad forms, for two shipping directions, USA and China, and all of them had to land in one pipeline without copying by hand. CRMs of Russian origin were ruled out.

The CRM

ClickUp was chosen after a comparison with Odoo, Monday and amoCRM. Leads and Clients sit in a sales folder, Shipments under operations, and Sales Tasks in a list of its own; USA and China are a field with filtered views, not duplicated lists. The whole structure was built through the ClickUp API (4 lists, 18 statuses, 38 custom fields, 16 views and linked relationships), and 123 leads and 18 clients were imported from the team’s spreadsheet.

Leads that arrive on their own

In Chatwoot an operator marks a conversation’s lead direction, and n8n creates the lead task: it normalises the phone to +380, skips empty fields, checks for duplicates in two layers and writes the task link back onto the conversation. Facebook leads pass through Make.com to n8n with the whole form, so the workflow matches the form to its direction, ignores retries and writes a full description in Ukrainian; new questions on a form flow through with no changes. Along the way it turned out that Chatwoot’s custom-attributes endpoint replaces values instead of merging them, and every workflow that writes attributes was fixed.

Result

Lead intake has run since 12 August 2026 from Chatwoot and since 13 August 2026 from Facebook, where the first real lead arrived on launch day. By 10 September 2026, 9 lead forms ran on 9 Make.com scenarios.
