Overview
The sales team’s company directory, kept as a workbook of sector sheets in mixed layouts, turned into clean CRM records. Each company went to the right manager by sector, size and region, and companies already in the CRM were left as they were.
The need
The directory was split into sheets by sector, with different layouts and heavy duplication. It had to become clean company records in the CRM, each owned by the right manager, without touching or re-creating the companies the CRM already held.
The cleanup
Scripts merged every sheet into one schema, audited the data quality and produced a duplicates review and a de-duplicated master list. A distribution matrix set the owner of each company by sector, company size and region, and a field map tied every column to the CRM’s fields.
The upload
The upload works in phases: it first scans the existing company lists, then routes each company, then uploads. It keeps its state as it goes, so a run can resume after a failure, and retries what fails. It ends with a report of the companies already in the CRM, showing where each one sits, and a report of errors.
Result
Loaded in a single run, with no errors left after the automatic retries and no company created twice.
