Notifications without a record
Customer notifications went out through several ad-hoc paths. SendGrid keeps activity data for only 30 days, so after a month nobody could check whether a customer had received an email, and automations had no shared way to message staff.
Sending
SendGrid was set up on the company domain with domain authentication and link branding, and a sending guide came with two HTML email templates set in Noto Sans Georgian. n8n workflows send notifications, reminders, requested and bulk emails, verify addresses with NeverBounce, and send SMS through sender.ge and e-signature envelopes through Documenso. A small reusable n8n webhook sends Mattermost direct messages to staff.
Logging
A daily n8n job requests SendGrid’s CSV export for the previous Tbilisi day, polls until it is ready, then downloads and parses it. Messages and events are upserted into two Postgres tables, so a re-run never creates duplicates and the history no longer disappears after 30 days.
Result
A live test on one day’s data stored 554 messages and 2,548 events in 22 seconds end to end, and a re-run produced the same counts.
